Privacy notice

Last updated: 9 September 2026. This is a working notice for NCI Porthole. Station and charity officers should review it before relying on it formally.

Who we are

NCI Porthole is a watch rota service for National Coastwatch Institution stations. Each station’s rota is managed by that station’s officers.

What we hold

  • Account details: name, email, optional phone, password hash
  • Station membership, rank, posts, and access role
  • Watch bookings, absences, cover, waitlist, and related notices
  • Optional profile photo and display preferences
  • Audit rows for rota actions kept for the station’s retention period

Why we hold it

To run the station rota, contact crew about watches and station notices, show who is on watch where the station publishes that page, and keep a fair record of bookings and stand-downs.

Sharing

Data stays with the station and the Porthole operators who host the service. Public watch pages show first name and surname initial only. Email and phone are not shown to ordinary watchkeepers. We do not sell personal data.

Your choices

You can update display preferences and reminder options on Me. Ask a Station Manager or Deputy to correct account details. You may request deletion of an account through your station officers, subject to rota and audit retention needs.
